Fuel surcharge errors on freight invoices: how to check yours
Almost every carrier adds a fuel surcharge to your freight bill. It is also one of the easiest charges to get wrong, because it depends on a table that changes and a calculation that is easy to apply to the wrong amount. This guide shows how the charge works and how to check it on your own invoices.
How a fuel surcharge works
The carrier publishes a table that links a fuel price index to a percentage. The percentage is applied to part of your bill, usually the base freight charge, and the result is the fuel surcharge line. The table is updated on a schedule set by the carrier, so the percentage you owe depends on which period your shipment falls in. Your rate agreement should say which table applies and which charges the percentage can be applied to.
Where fuel surcharge errors happen
- Wrong period. The invoice uses a percentage from a different week or month than the shipment date.
- Wrong percentage. The percentage printed on the invoice does not match the carrier's table for that period.
- Wrong base. The percentage is applied to a larger amount than your agreement allows, for example to accessorial fees or to the charge before your discount.
- Bad arithmetic. The percentage times the base does not equal the amount charged.
- Ignored terms. Your agreement fixes, caps or waives the surcharge, and the invoice does not follow it.
- Charged twice. The surcharge appears on the line and again as a separate charge.
How to check a fuel surcharge in five steps
- Find the shipment date on the invoice.
- Look up the carrier's fuel table for that date.
- Read your rate agreement to see which charges the surcharge applies to and whether it applies before or after your discount.
- Multiply the allowed base by the table percentage.
- Compare with the amount billed. Any difference is worth raising with the carrier.
What you need to check it
- The carrier invoices
- Your rate agreement or quote
- The carrier's fuel surcharge table for the shipment dates
Without the table or agreement, you can see that a percentage was charged but not whether it was right. Carriers also set time limits for disputing charges. Check your agreement for the deadline, and do not wait.
Common questions
Is a fuel surcharge negotiable?
Sometimes. Some agreements fix, cap or discount it. Check your rate agreement, because the carrier must follow whatever it says.
How do I find my carrier's fuel surcharge table?
Carriers usually publish it on their website or provide it with your agreement. If you cannot find it, ask your account representative in writing.
How far back can I dispute a fuel surcharge?
It depends on your carrier and agreement. Many carriers set a limit, so check your agreement and act as soon as you notice an error.
